  • Moved and approved that our season for 2020-2021 will be, if we get the rights:
    • A Little Night Music (Fall)
    • Chicago (Winter)
    • Sound of Music (Summer)
  • Moved and approved that the backup for Chicago, if we don’t get the rights, is Grand Hotel.

ED’s report

Gentlemen’s Guide: Share the videos, posts, get people to buy tickets! We need to sell 100 seats at a minimum to make our revenue goal.

Power outages this week? we should be fine (the backup generator will go on).

42nd Street Moon is interested in our costumes, will view next Thursday’s performance. Suggest a rental cost of $2,500 – $3,000.

She Loves Me: Production meeting next Wednesday.

South Pacific Auditions: Fully cast except for two male ensemble members. Music director would like to add one more person to the orchestra (from 15 to 16), Sara agrees.

Fall Classes: Beginning this week. Only one person signed up for tap, only 3 for voice right now. Audition prep 7 signed up. Lesson learned: Do classes after the show. Share on your facebook/social media.

Costume Sale notes

Sold ~$500 of costumes, including most of the Camelot stuff, minus the three suits of armor and a whole lot of glitzy tunics and capes.

Board agrees that the rest can be taken to Goodwill. Barbara H will work with Barbara G to remove costumes from rehearsal hall before Wednesday, Oct. 16.

Barbara and Jen M. will follow up with a purchaser whom Barbara did not charge correctly.

Marketing Report

Jonathan White’s work: we got more publicity than we have in all of the other programs that Doug worked on. $500 for this first time; normally he charges $1,000.

Biggest success was renting Broadway San Jose’s mailing list. We got 114 sales from it. That cost $750, plus $5 off the tickets that were sold in this way.

PA Players created a reciprocal ad with us, we got 42 sales for those. How did they do? Sara will check.

Is there a way to track conversion of single ticket to season ticket? Ask Dan if we can pull this data?

Retreat Preparation (Nov. 23)

  • Read the Board bylaws, see what’s there.
  • Shared discount between theaters and company members? Or “industry nights”? 10 seats are available at the box office. Rush tickets. Discuss at retreat.
  • Next major capital investment: Person, place, donors are more likely to spend on legacy items
  • Get information from Dan and Jay about who owns what at the theater

Patron survey/survey change

Sara has one change, Steve S. sent the survey link to Doug. We need to get the email addresses from Vendini to send it to people. Doug and Steve will work to send out the survey.

Create a blog post afterward to tell them what we learned. Include when we send an announcement out to the membership to our season reveal.

Will have to send out the show survey to the people in the GGLAM production, will tweak that survey and send out after October.

Chief Financial Officer’s Report

Gentlemen’s Guide is currently tracking what’s in the books. Will have something to share at the November retreat.

Going through our processes regarding bookkeeping, budgeting, if there are any efficiencies we can make or increase visibility into our status.

Checking also on costs of hiring bookkeeping staff versus trying to it in house.

Tacos and Tunes

47 tickets sold. Last year we were at 32 at this time, which was less than half of where we got to.

Can buy tables of 8.

Anthony Jackson, David Mister, Jessica Maxey, Mary Melnick – are our “divas” for the evening. Email to casts and encourage them to participate and donate to the ‘diva jar’ – is there a notes section on donation? Put a name in the comments section.

Email went out to everyone who’s bought a ticket.

Next Season

Sara spoke with Season Selection Committee separately, about Chicago, A Little Night Music, Sound of Music for spring. Started applying for rights for all of them; we have ALNM for winter. Denied for Chicago for Fall, so trying for Chicago for winter, ALNM for Fall. Will ask for SOM for summer.

Backups if we don’t get the rights: Grand Hotel; War Paint (Elizabeth Arden vs. another makeup queen); Little Shop? (but Hillbarn, Pintello are doing)

Concert possibilities: Natasha, Pierre, and the Great Comet; Titanic; Tapestry;

SOM backups: King & I; Singin’ in the Rain (but Sara is interested in directing that one, and we’re not quite ready to put it together)
